  • 🎓 JIGYASU Ph.D. Guidance Series | Part 13 Questionnaire Design – How to Prepare an Effective Research Instrument A questionnaire is the tool that converts your research objectives into data. Even an excellent research topic can produce poor results if the questionnaire is unclear, biased, or too lengthy. 📌 What is a Questionnaire? A questionnaire is a structured set of questions used to collect information from respondents in a systematic manner. It is widely used in Commerce, Management, and Social Science research. ✨ Features of a Good Questionnaire ✔ Simple language ✔ Relevant to objectives ✔ Logical sequence ✔ Short and focused ✔ Free from ambiguity and leading questions 📝 Main Types of Questions Open-ended: Respondent answers in their own words. Closed-ended: Respondent chooses from given options. Likert Scale: Measures opinions or attitudes (Strongly Agree → Strongly Disagree). Steps in Questionnaire Design 1️⃣ Define research objectives 2️⃣ Identify variables 3️⃣ Draft clear questions 4️⃣ Arrange them from general to specific 5️⃣ Conduct a pilot test 6️⃣ Revise and finalize Common Mistakes Using technical jargon Asking two questions in one sentence Leading respondents toward a desired answer Making the questionnaire unnecessarily long Ignoring pilot testing 💡 JIGYASU Tip Use 3–5 questions for each major variable. This improves reliability and gives better data for statistical analysis. Before finalizing, ask yourself: “Will this question help me answer my research objective?” If the answer is no, remove it. 📌 Remember: A well-designed questionnaire improves the quality of your thesis, research paper, synopsis, and viva performance.   • 🎓 JIGYASU Ph.D. Guidance Series | Part 12 Sample Size Determination – How Many Respondents Are Enough? One of the most common questions asked by Ph.D. scholars is: “How many respondents should I include in my study?” There is no single number that suits every research project. The appropriate sample size depends on the objective of the study, population size, research design, and the level of accuracy required. A sample that is too small may produce unreliable results, while an unnecessarily large sample may waste time, money, and effort. What is Sample Size? Sample size is the number of respondents, observations, or units selected from the population for the study. 📌 In simple words: Sample Size = Total number of participants included in the research. Why is Sample Size Important? ✔ Improves reliability of findings ✔ Reduces sampling error ✔ Increases statistical power ✔ Enhances validity of conclusions ✔ Makes results more representative Factors Affecting Sample Size 1️⃣ Population Size Larger populations generally require larger samples, but not proportionately larger. 2️⃣ Desired Confidence Level Commonly used confidence levels are 90%, 95%, and 99%. Higher confidence requires a larger sample. 3️⃣ Margin of Error (Precision) Smaller error (e.g., ±3%) requires a larger sample than ±5%. 4️⃣ Population Variability Greater variability in responses requires a larger sample. 5️⃣ Research Design Experimental and analytical studies often require larger samples than exploratory studies. 6️⃣ Statistical Technique Regression, factor analysis, SEM, and multivariate techniques generally need larger samples. Common Rule-of-Thumb Approaches Descriptive Survey Studies 100–300 respondents are often considered adequate. Correlation / Regression Studies A minimum of 100–200 respondents is commonly recommended. Factor Analysis At least 5–10 respondents per variable/item. Structural Equation Modeling (SEM) Usually 200+ respondents are preferred. 📌 These are practical guidelines, not strict rules. Basic Formula (Large Population) For many social science surveys, researchers use a standard sample size formula based on confidence level and margin of error. At 95% confidence and ±5% error, the required sample for a very large population is approximately 384 respondents. 📌 This is why many published survey studies use sample sizes around 350–400. Example: Research Topic- "Impact of Financial Literacy on Investment Decisions of Young Investors." Population: 10,000 young investors Confidence Level: 95% Margin of Error: ±5% A sample of about 370–385 respondents would generally be considered adequate for statistical analysis. Finite Population Correction (FPC) When the population is small, the required sample size decreases. Example: If the population is only 500 employees, a sample of about 200–220 may be sufficient instead of 384. Sample Size in Qualitative Research Qualitative studies do not usually use statistical formulas. The focus is on data saturation—the point at which no new information emerges. Typical ranges: Interviews: 10–30 participants Focus groups: 3–6 groups Case studies: 1–10 cases Common Mistakes by Ph.D. Scholars ❌ Choosing a sample size without justification. ❌ Assuming “more is always better.” ❌ Ignoring non-response rate. ❌ Using very small samples for advanced statistics. ❌ Not mentioning confidence level or sampling assumptions in the methodology chapter. JIGYASU Tip Always plan for 10–20% extra respondents to compensate for incomplete questionnaires and non-responses. Required sample = Desired sample + Expected non-response allowance. Example: If you need 300 valid responses, collect about 330–360 questionnaires. 📌 Remember: The best sample size is not the largest one; it is the one that is scientifically justified and appropriate for your research objectives and analysis method. 💡 One small habit that will help you: Whenever you read a journal article, note the sample size and ask why the authors chose that number. This habit will strengthen your own methodology writing and viva answers.
